The European Union Delegation to the Arab Republic of Egypt, Cairo is looking for a Secretary (initial two-year contract, with the possibility of extension)
The successful candidate will serve under the supervision and responsibility of the Head of Delegation and the Head of the Cooperation Section, providing essential administrative and logistical support in the organization, planning, coordination and implementation of internal and external meetings and events, including events at the Residence of the Ambassador, cultural events and incoming missions.
Following main tasks and duties are currently required:
– Support the logistical organisation of internal and external meetings and events, including securing internal or external venue arrangements, managing invitations and RSVPs, preparing meeting and event materials and coordinating catering services as required;
– Drafting, formatting and disseminating agendas, invitation letters/emails, meeting notes and background materials;
– Prepare and update guest lists and seating plans;
– Maintain accurate and up-to-date records of stakeholders, partners and contacts;
– Attend meetings and events to provide on-site support;
– Ensure the smooth execution of activities, including reception of the guests, registration and solve logistical issues promptly;
– Assist in the design and preparation of cultural activities and engagement programmes;
– Liaise with cultural organisations, community groups and relevant stakeholders;
– Conduct background research and support planning for cultural visits or outreach events;
– Assist in organizing incoming missions, including coordinate with the Administration Section logistics such as airport pick-ups, accommodation details, etc.;
– Support protocol arrangements in line with the Delegation’s procedures;
– Answer and route phone calls and respond to enquiries linked to the sphere of activities;
– Provide secretarial support, including document filing, scheduling appointments and coordinating calendars;
– Back-up of secretaries whenever required.
