The EU Delegation to Libya offers a career in an international environment. It currently employs a gender balanced team of more than 20 local and international staff. The place of employment for the position of SECRETARY is Tripoli, Libya.
The successful candidate will be recruited as SECRETARY, which can be changed based on the needs of the Delegation. He/she will be part of the Delegation’s Administration Section, will report to the Head of Administration and will provide general administrative support, including document management, internal communication, organisation of meetings, logistic needs and information provision.
The jobholder will in particular be responsible to:
Provide assistance by managing the calendar, answering the telephone, filtering calls and taking messages, responding to general inquiries and managing the e-mail exchange.
Take, transcribe and prepare notes, minutes, routine correspondence, presentations, contributions to inter-service consultations and other texts that are needed for the overall activity of the Administration Section.
Ensure that space, infrastructure, office supplies, inventoried goods and other logistical needs of the office are covered.
Attribute incoming messages to relevant staff members, coordinate follow-up and deadlines.
Contribute to the administration of calls for tenders and/or proposal process (terms of reference, evaluation…)
Organise visits to the Ministry of Foreign Affairs; follow and record Notes Verbales
Assist with interpretation during meetings
Translate simple documents
Contact suppliers and service providers
Fulfill other tasks in relation to administrative assistance
Fulfill other duties as and when required by the Head of Administration and the Head of Delegation
